We are a firm of about 30 full-time staff. Most staff work remotely and are in various locations around the country, plus two employees in Canada.
Position Summary:
Our administrative staff provide vital support to our executives and the firm overall. This position will work closely with our President, CFO, Administrative Manager, and Proposal Manager to ensure the smooth operations of our firm. General responsibilities include supporting proposal development through bid research, prospective client backgrounding, assisting with developing and compiling proposals, completing bid forms, and assembling proposals for submission. The position would also back-up the headquarters office for general administrative duties (e.g., file management, reports, requests for information from clients and staff). We expect growth in the position and additional responsibilities over time.
For this position, our office hours are Monday through Friday from 8:00 AM to 5:00 PM.
Requirements
Responsibilities include:
- Keeping track of prospective bids through the firm’s bid notification services and maintaining review of issued addenda and other information relating to those bids.
- Assisting the Proposal Coordinator with developing and compiling proposals (e.g., appropriate resumes, qualifications, and references.
- Assisting with the preparation of proposals, including ensuring quality control.
- Proofreading final proposals.
- Entering and maintaining information in proposal databases.
Requirements:
- Three to five years of proposal writing or marketing experience.
- Strong proficiency in MS Office (Word and Excel); Mac environment
- Proofreading abilities
- Ability to work with staff who are located nationally and internationally (Canada)
- Ability to work independently once direction is provided
- The ability to work collaboratively and flexibly in a fast-paced environment
- Applicants must be authorized to work in the United States without requiring visa sponsorship
