Job Description Summary
Reporting to Penn Live Arts' Director of Development, the Development Coordinator provides primary administrative support for the Penn Live Arts Office of Development. The Development Coordinator is intimately involved with most aspects of the day-to-day operation of this program. Under limited supervision, the DC must exercise judgment and initiative in carrying out responsibilities and handle complex and highly confidential materials. In collaboration with the Development Team, this person is responsible for maintaining records and reports, supporting solicitations and stewardship, coordinating special events, assisting in the management of volunteers, and supporting the departmental infrastructure.

Job Description

Gifts Administration & Acknowledgments: Includes processing of all gifts; working across two database platforms--donor database Atlas (and eventually Salesforce) and ticketing database, Tessitura, to capture donor gifts, maintain donor records, prepare gift reports, generate acknowledgments, and record stewardship actions; work with Finance Department on monthly contributed income reconciliation between Atlas/Tessitura and BEN Financials.

Annual Fund & Stewardship Support: Support the Annual Fund and stewardship activities of the department by generating reports through Atlas and Tessitura, coordinating printer and mailhouse services for print solicitations, work with SACAG and Marketing Department to facilitate e-solicitations; liaison with vendors on donor recognition plaques, stewardship gifts; and support stewardship and donor cultivation events as per below.

Special Events Coordination: Work with department leadership to plan, organize, execute and follow-up on development led special events, including pulling reports to generate guest lists, managing invitation mailings, RSVP lists, generating nametags; facilitating event logistics including space needs, catering, AV, ticketing; on-site trouble-shooting at event, and support of follow-up strategy.

Volunteer Management Support: Assist DoD in managing logistics for Board of Advisors and other volunteer meetings and events, including: coordinating lodging, meeting locations, signage, facilitating RSVPs, catering, restaurant reservations, ticketing needs, and preparing necessary meeting materials.

Departmental Administration: Manage departmental office supplies; process purchase orders; book travel, process reimbursements, and manage calendaring, as needed.

Other duties as assigned.

QUALIFICATIONS:

High school diploma and 5-7 years of experience or equivalent combination of education and experience required; college degree preferred. High level of competency with computer software programs including database management skills, Word, Excel, Email and Internet navigation. Atlas and Tessitura familiarity a plus. Willingness to learn and apply new technologies as needed. Must be professional and have the ability to work with high-level volunteers, donors, faculty and vendors, and participate in staffing events as needed. Must be detail oriented, have strong organizational and communication skills and the ability to effectively prioritize competing tasks. Able to work independently, but collaboratively as part of a goal-oriented team. Ability to work evenings and weekends as needed. Ability to lift up to 25 pounds.
